Service Automation: Scheduled Tasks

You perform many tasks on a regular basis. HelloID, Tools4ever’s Identity and Access Management (IAM) solution, automates these tasks for you with scheduled tasks. This blog explains the functionality, capabilities, and benefits.

What are scheduled tasks?

Scheduled tasks are tasks you schedule and HelloID executes automatically at a predefined time. This saves time, reduces service desk workload, and frees capacity for higher-value work. These are specifically PowerShell tasks that run within your network.

Automating tasks

With scheduled tasks you can automate a wide range of tasks. A good example is Group Sync AD, which synchronizes users and groups from Active Directory (AD) with HelloID. With Group Sync AD, HelloID can assign the correct roles and permissions in the IAM platform based on AD entitlements. For example, Group Sync AD ensures that a manager or key user receives access to specific features or components in HelloID. This includes the menus needed to assign products to employees and to approve workflows.

Products

You can also use scheduled tasks to synchronize AD groups as products. This is useful when creating new groups for specific application entitlements or access to NTFS shares. Through scheduled tasks you can automatically create these groups as products. Note: in this case you must complete the configuration of the created groups manually, for example by defining the approval workflow.

Variables

When creating scheduled tasks in the HelloID Service Automation module you can use the variable library. This library provides a broad set of variables that simplify and accelerate scheduled task creation. The variable library contains two types of variables: user-defined variables and system variables. You can use these in scheduled tasks, Delegated forms, and self-service products.
