They not only streamline the execution of many tasks, but the user-friendly forms also allow you to delegate tasks to other employees. What are Delegated forms?

The Service Automation module of Tools4ever’s HelloID Identity & Access Management (IAM) solution can save you significant time. The module helps automate common, repetitive, and tedious tasks, which increases productivity. This allows you and your colleagues to focus on higher-value work. HelloID Service Automation offers several options for this, including Delegated forms. These are forms that allow you to standardize tasks and delegate them to other employees. As a result, these colleagues can perform a wide range of tasks without requiring advanced technical knowledge and/or permissions.

Importing and customizing forms

You can use Delegated forms to standardize a wide range of tasks. In practice, we see several common scenarios for which the forms are used. For these scenarios, we provide a set of standard forms that you can import directly into HelloID from our GitHub repository. This is convenient, since you can get started with Delegated forms quickly and easily. The forms in our GitHub repository are in many cases focused on standardizing tasks in Active Directory or Entra ID, previously known as Azure AD. The forms support many capabilities, including:

  • Create and manage accounts

  • Manage group memberships

  • Reset passwords

  • Update phone numbers

  • Create and manage groups

  • Create and manage mailboxes

  • Manage mailbox permissions

Every organization is different. With a few variables, you can easily tailor the forms to your environment and requirements. After you set these variables, the forms work immediately. Want to create a customized variant of an existing form? With a single click, you copy the form and then adjust it as needed.

Who can use a form?

A key advantage of Delegated forms is the ability to delegate tasks to non- or semi-skilled help desk staff and key users within your organization. Key users are easily approachable employees within the business who can perform certain tasks for their colleagues. They reduce the workload on the service desk. You can define exactly who is allowed to work with Delegated forms. Access can be granted per form to individual users or user groups, and you can link user groups to Active Directory or Entra ID. This keeps you in control.

As a HelloID administrator, you are responsible for managing Delegated forms. After you initially create and configure a form, you can fine-tune it. Examples include adding, modifying, or removing specific fields, building in logic, or adjusting the actions that a submitted form can trigger. Tools4ever provides support for this.
