USE CASE

Improved User Experience

Enable users to quickly access their applications and data, work with them intuitively, and request additional IT resources online themselves right away.

CHALLENGE

How does your IAM solution ensure users can collaborate smoothly, seamlessly, and securely?

In digital transformation projects, the user experience is often the most important success factor. How do we ensure that new users have immediate access to all their applications and data from day one, can switch between applications with one click, and can easily request additional access rights and other services online themselves?

SOLUTION

Single-click access with the right permissions at all times through automated IAM

HelloID automatically provisions accounts and corresponding access rights based on user roles. As a result, everyone can start working immediately at any time, while Single Sign-On and Multi-Factor Authentication let them open their applications securely and with ease. Additional access rights and IT resources can be requested easily through an online self-service portal.

Automatically have the right applications at all times

  • Always have immediate access to all required applications and data through automated account and access management.

  • Access governance across the entire account lifecycle onboarding, role changes, and offboarding. During onboarding or a new role, users can start immediately.

  • Non-standard users contractors, clients, partners can also be quickly and automatically provisioned with an account and access rights.

User-friendly self-service portal

  • Users can request additional or temporary access rights online on their own.

  • Immediate online processing, including approval steps and a configurable duration, depending on the request type.

Secure access without repeated logins

  • User-friendly Single Sign-On improves ease of use, prevents password fatigue, and encourages the use of strong passwords.

  • Multi-Factor Authentication (MFA) with multiple options (authenticator, tokens) provides an optimal combination of security and usability.

  • One-click access to applications through a user-friendly portal that can be integrated into, for example, an intranet.

  • Seamless integration with Active Directory or Google Workspace.

HOW IT WORKS

How we deliver user-friendly Identity and Access Management

7 steps, each configurable with low-code or no-code

  1. Source system: Integrate HelloID with source systems such as HR, SIS, and or scheduling systems. Changes in source data then become available in HelloID automatically.

  2. People: Convert person and role data from source systems into a common representation within HelloID using an identity vault.

  3. Business Rules: Define rules that specify which types of accounts and access rights are granted to which roles, and under which conditions.

  4. Target systems: Connect HelloID to on-premises and cloud applications. This can be executed step by step per application.

  5. Service processes: Automate processes, including online approval flows and activation in target systems. This can be implemented per process as a separate step.

  6. Access management: In conjunction with, for example, Active Directory, configure access procedures such as Single Sign-On (SSO) and Multi-Factor Authentication (MFA).

  7. Reporting and auditing: Configure standard and customer-specific reports and monitoring functions for analysis and audits.

FAQ

Frequently Asked Questions

How does HelloID ensure that new users have access to all required applications and data from day one?

HelloID uses automated account and access management based on the user’s role. During onboarding or a role change, users are automatically provided with the required accounts and corresponding access rights. This ensures they can start immediately without obstacles.

What is the added value of the HelloID self-service portal for the end user?

The HelloID self-service portal allows users to request additional or temporary access rights online on their own. This increases user autonomy and reduces waiting time for IT support. In addition, requests can be handled online immediately, with approval steps and configurable durations, which streamlines the process and increases efficiency.

How does Single Sign-On (SSO) improve the usability and security of the user experience?

Single Sign-On (SSO) allows users to access multiple applications with a single login, which makes switching between applications easier and faster. SSO also reduces the need for users to remember multiple passwords, which often leads to password fatigue and the use of weak passwords. Combined with Multi-Factor Authentication (MFA), SSO ensures that access to applications is not only user-friendly but also secure.

How does Single Sign-On (SSO) improve information security?

With Single Sign-On, users enter a password only once and then have automatic access to multiple applications. That may sound insecure, but the opposite is true. If people must create a password for every application, they will use simple or repeated passwords. It is safer to sign in once with a strong, secure password. The combination of SSO and Multi-Factor Authentication is especially secure.
