Google Cloud: Manage Google Apps and Gmail Accounts

Identity and Access Management (IAM) has a cloud connector for the google cloud and can therefore manage Gmail related entities. For example, IAM can ensure that e-mailboxes for new employees are immediately available or perform an automatic name change (for instance a marriage) on the account. IAM then ensures that the name of the primary email address is changed to the new name and that the old name is added as alias to the new mailbox.

But IAM offers even more:

Functional Mailbox

It is possible to create functional mailboxes in Google Apps and to manage google apps access rights. In combination with the Self Service module of IAM, an employee can request access to a functional mailbox. IAM can grant this after the approval of the owner of the functional mailbox. On a periodic basis, IAM can deliver an email to the owner of the functional mailbox with a list of all members. A link can also be delivered to the owner to allow them to remove members who should no longer have access to the mailbox. Through this Self Service component of IAM, the organization can independently adjust rights and maintain compliance.

Distribution List Management in Google Apps

IAM automates the distribution list management process in Google Apps. To do this IAM uses information from Active Directory or the HR system. This way IAM can automatically assign distribution list membership based on the role or title of the end users in the HR system. An employee of the financial administration is thus automatically a member of the distribution list "div financial administration". Besides regulating list memberships, IAM can create, rename and delete distribution lists in Google apps based on the change in the HR system.

Mailbox Stores

IAM can put a user in the appropriate mailbox store based on specific individual characteristics such as function and location. This allows a direct distinction between users who need a large amount of storage capacity, and users who require significantly less storage capacity. Also, a user can be assigned to an appropriate mailbox store based on the location, usually the nearest mailbox store. This is normally done to limit traffic on the network.
