Case study
With future student needs and compliance with social security issues, the VP for Student
Services decided to issue students an identification number - to all current and incoming alumni.
Administration also decided to issue, to the student, an email account to all students (present and
incoming) and we knew that this was going to be a major task. Information Technology (IT) staff
decided to search for the software that would meet our needs and to help with the tremendous
task that awaited us. Our current method of creating these accounts was through active directory
- one at a time and I was averaging 20-30 per day.
If you take the total student count of 10,203 you figure it would have taken me anywhere from 340
– 510 days to accomplish what the software did in minutes. On top of that, think of all the other
job duties I would have to neglect just to accomplish this task.
Solution
The software we were looking for needed to give us an immediate productivity relief and be user
friendly enough to be quickly learned. With User Management Resource Administrator, I was
able to start using it right away. Advanced Toolware has also assisted tremendously in getting it
implemented into our daily activities. It took us about 15-20 minutes to run the initial batch.
It was amazing. We had all of the account created and I had time to focus on other areas of my
job. Not only did we have our accounts created within minutes, but it also allowed me to do
the other parts of my job that I was not able to do while I was creating the accounts manually.
Results
We will use this software with every new school year and it will save us time by not having to
create the accounts manually each year. Also, as a secondary benefit, we now have the email
accounts created accurately and the instructors are able to email the students and open up a
whole new line of communication. Every day I average about 30 – 40 new students that I need to
create. I import the information from banner (our database software) and have the whole process
done in about five minutes. It is fast and accurate and saves me a ton of time.
I feel very good about this software. It is very easy to use. Even when I made a mistake it was
able to catch it. User Management Resource Administrator is a great software package and I
am glad that we found it. Highly Recommend.
